These terms explain how quotations, booking requests, confirmed journeys, payments, cancellations and passenger responsibilities are handled.

1. About these terms

These Terms and Conditions apply to private hire, chauffeur, airport transfer and related passenger transport services supplied by LUXCIS Transfer LTD (“LUXCIS”, “we”, “us” or “our”). By requesting or accepting a booking, the person making the booking and each passenger agree to these terms.

Submitting an online form or requesting a quotation does not itself create a confirmed booking. A booking is confirmed only when LUXCIS issues written confirmation by email, text message or WhatsApp.

2. Operator and licensing

LUXCIS Transfer LTD is registered in England and Wales and operates as a private hire operator licensed by Cardiff Council. Journeys are accepted and carried out only in accordance with the licensing arrangements and applicable law.

References to registration in England and Wales describe the place of incorporation of the company. They do not extend or replace any local authority operator, driver or vehicle licence.

3. Booking information

You must provide complete and accurate information, including pickup and destination details, date, time, passenger numbers, luggage, contact details, flight information and any relevant accessibility or special requirements.

You are responsible for checking the booking confirmation and notifying us promptly of any error. We may decline a request where information is incomplete, the requested journey cannot lawfully be undertaken, a suitable vehicle is unavailable, or the request presents a safety or operational concern.

4. Quotations and prices

Online fare figures are estimates only and remain subject to confirmation. A confirmed quotation is based on the journey details supplied at the time and may be revised if those details change.

Additional charges may apply for material route changes, extra stops, waiting time, parking, tolls, airport charges, congestion or clean-air charges, cleaning, or other costs arising from the passenger’s request or conduct. Any known material charge will be explained as clearly as reasonably possible.

5. Payment

The payment method and payment deadline will be stated in the quotation or booking confirmation. We may require advance payment or a deposit before confirming or performing a journey.

Where a third-party payment provider is used, its own terms and privacy practices may also apply. LUXCIS does not ask customers to send complete payment-card details by ordinary email or WhatsApp.

6. Cancellations and changes

Please notify us as soon as possible if you need to cancel or change a booking. Cancellation or amendment charges may apply where they are stated in the quotation or confirmation, where a driver has already been dispatched, or where LUXCIS has incurred non-refundable costs.

A significant change to the pickup time, route, passenger count, luggage or vehicle requirement may be treated as a new booking request and remains subject to availability and revised pricing.

If LUXCIS must cancel because the service cannot reasonably or lawfully be provided, we will notify you as soon as practicable and refund any amount paid for the unprovided service. This does not affect rights that cannot legally be excluded.

7. Pickup, waiting and no-shows

Passengers should be ready at the agreed pickup point at the confirmed time and remain contactable using the telephone number supplied. For airport collections, passengers should provide accurate flight details and contact us after landing where requested.

Flight monitoring is provided as a practical assistance but does not guarantee that every operational change will be identified. Where a passenger cannot be located or contacted after reasonable attempts, the booking may be treated as a no-show and charges may apply.

8. Passengers, luggage and child seats

The number of passengers and amount of luggage must not exceed the safe or licensed capacity of the vehicle. We may refuse unsafe, unlawful or excessive loads.

Customers must tell us in advance about wheelchairs, mobility equipment, unusually large luggage, animals, child-seat requirements or any other matter affecting vehicle suitability. The responsible adult remains responsible for correctly securing a child unless otherwise required by law.

9. Passenger conduct and safety

Passengers must behave lawfully and respectfully and follow reasonable safety instructions from the driver. Smoking, vaping, illegal substances, threatening behaviour, deliberate damage and conduct that risks the driver, vehicle, passengers or public are prohibited.

We may terminate or refuse a journey where continuing would be unsafe or unlawful. The customer may be charged for reasonable cleaning, repair or other loss caused by a passenger, subject to evidence and applicable law.

10. Delays and events outside our control

We take reasonable steps to provide a punctual service, but journey and arrival times are estimates and can be affected by traffic, road closures, weather, accidents, security incidents, flight disruption, vehicle breakdown, regulatory action and other events outside our reasonable control.

Nothing in these terms excludes liability where it would be unlawful to do so. Subject to that rule, LUXCIS is not responsible for indirect or consequential loss, missed flights or appointments caused by events outside our reasonable control. Customers should allow an appropriate time margin for important connections.

11. Lost property

Passengers are responsible for their belongings. We will take reasonable steps to identify and return property found in a vehicle, but cannot guarantee recovery. Reasonable delivery, postage or storage costs may be charged.

12. Complaints

Please raise any concern promptly so that we can investigate it. Include the booking reference, journey date and a clear description of the issue.

13. Privacy

14. Governing law

These terms are governed by the law of England and Wales. The courts of England and Wales will have jurisdiction, subject to any mandatory consumer rights that apply to you.
